Though it may not always seem so, technology is here to help us and your computer and the internet can help you.
The internet is essentially a collection of documents saved as webpages. I can make a document, save it to my website and anyone around the planet can view it at anytime by typing in my web address (URL). I can change the document and save it again in seconds and the viewer can see the new document immediately. Wow! I just love this whole idea and it is what drives me and makes me passionate about the internet.
This new "live document" doesnt have the limitations of the old paper documents. It appears as soon as you click to open the webpage, it can contain animated and live images, video, voice, can be updated instantly from anywhere with an internet connection, contain links to other documents/webpages, it can even change the content depending on who is looking at it.
Whilst a few documents will probably always have to be printed, the old days of mass printing and posting of documents are becoming less common and necessary. More and more companies are switching over to internet based live documents. I have suppliers who invoice me in this way and it works very well for both of us. I can view any invoice at the click of my mouse and they save on cost and staff with an automated invoice system.
Consider for a moment the amount of time and resources required to print and post the average document to its recipient. There is probably at least four people involved in the process including postal workers, etc. Multiply that by how many documents were/are sent around the world each day. Thats a lot of staff, paper, postage cost, time delay, vehicles, sorting and other resources and a potential huge saving for companies involved.
How else can we use this new live document? Instead of printing and sending a meeting document in advance of the meeting, all the meeting participants can now open a webpage with the document on. They all view the same document at the same time and conduct the meeting from wherever they are located at the time. They can all speak to each other using a telephone conference call or they can also do that via the internet too easily. They can also use a pointer on screen if they wish.
The whole meeting is more flexible, convenient and immediate. With more and more voice calls predicted to be made over the internet in the coming months rather than over the telephone, and ever faster ever cheaper internet connections, the use of live documents is sure to rise too.
However, we will have to be willing to try these new ways of doing things and adjust our mindset from the old paper document mindset for technology to be truly successful in helping us. If we can do this, at work and at home we will be able to get more done more quickly and with far more interaction than we do now.
